Dear Valued Partner in the Industry:
We invite you to exhibit at our Spring Meeting, All Surgeons Day of the Metropolitan Washington DC Chapter of the American College of Surgeons. The event will occur at 20 F Street in Washington, D.C., on Saturday, May 17, 2025, from 7:00 a.m. to 3:00 p.m.
The cost to exhibit is $2,150. This provides:
Access to a significant representation of bariatric, oncologic, pediatric, colorectal, endocrine, trauma/critical care, and general surgeons from MD/DC/V
Table for setup for the duration of the meeting between the food and the presentation room.
Opportunity to engage the attendees throughout the meeting
Designated time in the program for attendee/sponsor engagement
This year, the Chapter will celebrate our 50th Anniversary! We expect to attract over 50 board-certified/eligible surgeons and 15-20 residents/fellows interested in general surgery and subspecialties.
Our membership includes over 400 Members from the District of Columbia, Virginia, and some areas of Maryland. Exhibiting at this meeting will allow you to interact closely with the targeted audience of academic, military/Veterans Affairs, and private-practice surgeons throughout the area.

RULES & REGULATIONS
A $1,000 deposit or full payment is due upon receipt of your application. THIS DEPOSIT WILL NOT BE REFUNDED. Full payment is due on April 18, 2025.
Exhibit applications must be submitted by April 18, 2025. Please submit all materials to Dana McClure, Exhibits Coordinator, at dmcclure@facs.org.
Cancellations: The Metropolitan Washington DC Chapter, ACS, must receive written notification of a space cancellation on or before April 11, 2025. A $1,000 service charge will be assessed for each canceled space. No refunds will be given after April 11, 2025.
Failure to Occupy Space - Any space not occupied by 7:00 am, Saturday, May 17, 2025, will be forfeited by the exhibitor. This space may be reassigned or used by the Chapter without refund unless arrangements for delayed occupancy have received prior Chapter approval.
Force Majeure - The performance of this Agreement by either party is subject to acts of God, war, government regulation, disaster, fire, epidemic, threatened or imminent strikes, civil disorder, curtailment of transportation facilities, threats or terrorist attacks, or other similar occurrence beyond the control of the parties, making it illegal, impossible, or commercially impractical to carry on the Exhibits or fully perform the terms of this Agreement. This Agreement may be terminated, or performance may be excused without penalty for any one or more of such reasons by written notice from one party to the other.
Catastrophe - In the event of fire, strikes, or another unavoidable occurrence rendering the exhibit space unfit for use, provisions will be made for the exhibit elsewhere, or a proper financial adjustment will be made to the exhibitor.
FDA Regulations - Exhibitors must abide by all applicable Food and Drug Administration (FDA) regulations, including but not limited to any or all approved requirements. Exhibitors are reminded that the FDA prohibits the advertising or other promotion of investigational or unapproved drugs and devices and forbids the promotion of approved drugs or devices for unapproved uses. Interpretation and Application of Rules and Regulations – All matters and questions not covered explicitly by Rules and Regulations are subject to the decision of Dana McClure, Exhibits Coordinator, American College of Surgeons. The ACS is a member of the Professional Convention Management Association (PCMA), the International Association for Expositions and Events (IAEE), and the Healthcare Conventions & Exhibitors Association (HCEA).
Miscellaneous - This Agreement supersedes all prior writings or oral agreements and constitutes the entire agreement between the parties on the subject hereof; it may be amended only by a written setting forth the amendments and signed by both parties. This Agreement is binding on the parties, their successors, and assigns, provided that no party may assign this Agreement without the prior written consent of the other party. Either party’s waiver of or failure to exercise any right provided for in this Agreement shall not be deemed a waiver of any further or future right under this Agreement. All notices required or permitted hereunder shall be in writing and sent to the parties at the addresses provided by the parties. This Agreement shall be governed by and interpreted by the laws of the State of Illinois.
